Privacy Notice

1. Who we are

Erin Colbrese Coaching, LLC ("we", "us", "our") is the data controller responsible for the personal data we collect through this website and our coaching services. If you have any questions about this notice or how we handle your data, contact us at hello@erincolbrese.com.

2. Personal data we collect

  • Contact and booking details — name, email address, optional phone number, and any notes you provide when booking a session.
  • Account credentials — for administrators, login email and authentication data.
  • Meeting metadata — date, time, and duration of booked sessions, and the Zoom meeting link generated for each session.
  • Communications — emails, messages, or support requests you send us.
  • Usage and device data — IP address, browser type, device identifiers, pages viewed, and similar telemetry, collected automatically when you use the site.

This site does not process payments. Coaching fees are invoiced and collected separately through Square; any payment card information is handled directly by Square.

3. How we use your data and legal basis

  • To provide the Services — scheduling sessions, sending calendar invites and Zoom links, delivering coaching (legal basis: performance of a contract with you).
  • Customer support — responding to your questions and requests (legitimate interests; performance of a contract).
  • Security and fraud prevention — protecting our site, customers, and business (legitimate interests; legal obligation).
  • Product improvement — understanding how the site is used so we can improve it (legitimate interests).
  • Marketing — sending occasional updates where you have consented or where permitted by law; you can opt out at any time.
  • Legal and compliance — meeting tax, accounting, and regulatory obligations (legal obligation).

4. Who we share data with

We share personal data only with the following categories of recipients:

  • Square — we use Square outside of this site to invoice clients and process coaching fees. See Square's Privacy Notice.
  • Hosting and infrastructure providers — that operate the servers, databases, and authentication used to run the site.
  • Google Calendar — to create calendar events and send invites for booked sessions.
  • Zoom — to create the video meeting for each booked session.
  • Email and communication providers — to deliver booking confirmations and transactional messages.
  • Professional advisers — such as accountants and lawyers, where reasonably necessary.
  • Authorities — where required to comply with law, court order, or to protect our rights.

We do not sell your personal data.

5. International transfers

Some of our service providers (including Square, Google, and Zoom) may process data outside your home country, including in the United States. Where we transfer personal data internationally, we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions.

6. How long we keep your data

We keep personal data only for as long as needed for the purposes described above. In general, we retain booking records and related communications for as long as you remain a client and for a reasonable period afterwards to handle follow-up requests, support issues, and legal/tax obligations. When data is no longer needed, we delete or anonymize it.

7. Your rights

Depending on your location, you may have the right to:

  • access the personal data we hold about you;
  • request correction of inaccurate or incomplete data;
  • request deletion of your data;
  • restrict or object to certain processing;
  • request a portable copy of data you provided to us;
  • withdraw consent where processing is based on consent;
  • lodge a complaint with your local data protection authority.

To exercise any of these rights, email us at hello@erincolbrese.com. We will respond within the timeframe required by applicable law (and in any case within one month for requests under GDPR).

8. Security

We use appropriate technical and organisational measures to protect personal data, including encryption in transit, access controls, and regular review of our security practices. No system is perfectly secure; we encourage you to use a strong password and keep your account credentials confidential.

9. Cookies

We use a small number of essential cookies required to operate the site (for example, to keep you signed in and remember your booking flow). We do not currently use advertising cookies. If we add analytics or marketing cookies in the future, we will update this notice and, where required, ask for your consent through a cookie banner. You can manage cookies through your browser settings.

10. Changes to this notice

We may update this Privacy Notice from time to time. Material changes will be communicated by updating the "Last updated" date above and, where appropriate, by additional notice.
